Welcome to the community. To ensure your stay is seamless, we have organized our operational guidelines into four key phases: Onboarding, Arrival, Daily Life, and Departure. Adhering to these standards allows us to maintain a high-quality environment for all residents and guarantees a transparent, efficient process from your first day in China to your last.


1. Onboarding Guidance.

We have simplified the administrative process to get you settled quickly and securely.

  • 📑 Digital Contract: Your lease agreement is handled entirely online. Once you have reviewed the terms, you can sign digitally from anywhere in the world. The contract is available in both English and Chinese.

  • 📨 Instant Documentation: Immediately after signing, you will automatically receive a fully executed PDF copy of the contract via email for your records with all useful information on the first page.

  • 🏦 Initial Payment: To confirm your booking, you will receive an invoice by email. See more details on the payment methods on our dedicated page here. The privileged payment method is Alipay.


2. Check-In Guidance.

Arrival in a new city can be hectic; we make it seamless.

  • 📅 Schedule Your Arrival: Please confirm your check-in date and time as soon as possible. This allows our team to ensure your room is ready and the digital access codes are activated.

  • 🤳 Self Check-in Protocol: For self check-in, upon entry, please take a brief video and photos of the common areas and your private room.

    • Cleaning Disclaimer: Please note that local cleaning standards may differ from those in Europe. You may wish to perform a light touch-up upon arrival to meet your personal preference.

  • 📂 Documentation: Share these media files in your dedicated WhatsApp or WeChat group within 24 hours. This serves as a mutual record of the apartment’s condition at the start of your stay.

  • 👮‍♂️ Police Registration: Within 24 hours of arrival, you must complete your Self-Registration for foreigners using this portal: https://gaj.sh.gov.cn/crj/24hr/web/zcbd/login also check our dedicated article here for more information.


3. Ongoing Guidance.

Transparent processes for a stress-free stay.

  • 📆 Rent Schedule: To ensure uninterrupted service please pay attention to the rent schedule:

    • For flats and rooms managed by Here: Rent is always due by the 20th of the preceding month. (For example: Rent for February must be settled by January 20th).

    • For flats not managed by Here: Depends on the terms negotiated with the landlord, please refer to your lease contract.

  • 💰 Payment Methods: See more details on the payment methods on our dedicated page here. The privileged payment method is Alipay.

  • 🧹 Bi-Monthly Cleaning (for flats and rooms managed by Here only): Our team will notice you in advance for the bi-monthly cleaning of your room.

    • Cleaning Disclaimer: Please note that local cleaning standards may differ from those in Europe. You may wish to perform a light touch-up upon arrival to meet your personal preference.

  • 🛌 Bi-Monthly Cleaning Bedding Exchange (for flats and rooms managed by Here only): Leave used bedding/towels on your bed for the cleaning team to collect.

    • Important: Staff will not change bedding if personal items are left on the bed. You must wait until the next scheduled visit if this occurs.

  • ‼️ IMPORTANT NOTICE LEADING TO EVICTION WITHOUT NOTICE

    • No charging e-bike lithium batteries, if caught by CCTV or neighbour you will be evicted without notice and face police charge.

    • No late-night noise or parties: Quiet hours in Shanghai are 10pm–7am. Disturbances may lead to eviction without notice.

  • ⚠️ Other Important Notice:

    • Toilet: No toilet paper or other items flushing in the toilet. It will cause the toilet blockage.

    • Utilities Cutoff: Management usually posts a notice in the hallway (in Chinese) in advance. Please translate it with an app translator. If there is no notice, contact us.

      • Save water and electricity, and turn off lights, faucets and electrical power when leaving, to avoid energy waste and additional increase fees due to long-term operation.

    • Digital locks: Check battery levels regularly. Charge with a power bank if low.

    • Garbage: Please throw it in the designated area outside and follow waste-sorting rules.

    • Personal items: Please keep your personal belongings and valuables secure. Any loss or damage of personal items is at your own risk, and neither the landlord nor the appointed third party service provider shall be held responsible.


4. Check-Out Guidance.

A clear path to a successful departure and deposit refund.

  • 📣 Notice & Schedule: Confirm your final check-out date and time at least 30 days in advance.

  • 📂 Property Condition: For self check-out, please provide a final video and photos of your room and the flat via your group chat.

  • ✅ Security Deposit Refund: Your deposit is fully refundable provided the following conditions are met:

    • No Damages: The apartment is returned in its original condition (normal wear and tear excepted).

    • Cleanliness: The room and common areas are left in a clean and tidy state.

    • Utility Clearance: Any pro-rated utility bills for the final month are settled (these can be deducted from the deposit for your convenience).

  • 🧧 Refund Channels: We offer three flexible ways to receive your refund:

    1. Mobile Wallet: Instant refund to your Alipay or WeChat Pay.

    2. Local Bank Transfer: Wire transfer to a Chinese bank account.

    3. Cash: Collection in CNY at our office.
